The Associates was hired to plan and execute the first in-person event of a client after the global pandemic dictated that all gatherings be virtual for three years. The client has a reputation for engaging, sector specific events that provide participants with knowledge about emerging issues and trends as well as practical tools they can immediately implement in their workplaces. The agenda for this event also emphasized networking opportunities.
Despite the fact that most public health protocols had been withdrawn in Ontario by the time of the event, The Associates worked with the venue to ensure that additional steps were taken to reassure participants that they were safe in an in-person environment.
This included:
- spacing tables six feet apart in the presentation rooms and having fewer seats at each table;
- placing name tags and swag bags at each seat rather than distributing them at registration;
- providing participants with safety protocols and their seat number before they arrived at the event;
- issuing a series of buttons to each attendee so that they could indicate how they would like to interact with their colleagues – the choices were “Six Feet Apart,” “Elbow Bump” and “Handshake;” and,
- redesigning the exhibitor showcase to avoid crowding around booths.
Connecting face-to-face with industry colleagues to undertake professional development and solidify one’s network is an unparalleled experience that has taken on new dimensions as a result of the global pandemic. Creating a safe and respectful environment at these events will be key to their success in the future.
